After an initial enquiry, generally a consultation would be best to discuss the couples requirements in more detail. The consultation would be fully typed into a quote for the couple. If they decide to book then great! In between the booking and the wedding, a site visit to the venue can be had if needed to discuss other venue decoration. A final planning meeting would be around a month before the wedding.
