Willow & Stone Estate is a private, luxury garden wedding venue in Ballarat, offering couples an exclusive weekend experience surrounded by natural beauty, charm and complete privacy. With only one wedding held per weekend, couples enjoy uninterrupted access from Friday to Monday, creating a relaxed, immersive celebration with time to settle in, prepare and enjoy the entire estate at their own pace.

The estate features a spacious and luxurious on-site wedding suite for three nights, with room for up to four additional guests on the pre-wedding night. A separate Groom’s/Games Room (equipped with table tennis, darts, hoops and retro arcade games) offers a relaxed pre-ceremony space, while the adjacent dressing room provides a beautiful backdrop for get-ready photos. Couples also have access to the stables and a moody cellar room for unique indoor photography opportunities.

Ceremonies can take place anywhere across the estate, with multiple picturesque garden locations available. Towering willows, expansive lawns, hidden gardens and the tranquil creek provide endless backdrops for photography, ensuring you never need to leave the property. Up to 60 ceremony chairs and a signing table are included, along with wet-weather options and umbrellas for guests and the wedding party.

Receptions unfold inside a natural-stone arena featuring a stunning 20m x 10m clear marquee with an automated roof awning for shade and temperature control, a unique feature that keeps guests comfortable in all conditions. A spotted-gum deck sits alongside the marquee, creating an open-air dance floor under festoon lighting, with a portable hardwood dance floor option available for indoor use. While ceremony and cocktail furniture are included, couples have complete flexibility to hire in the perfect reception furniture to suit their style.

Catering at Willow & Stone is fully flexible, allowing couples to choose from premium pre-approved caterers or bring their preferred team (subject to approval and induction). Caterers have full access to the purpose-built catering container, featuring stainless-steel prep benches, dual sinks, hot and cold water, multiple power outlets, weather protection and a tall cake display fridge for convenience.

The estate’s fully licensed on-site bar includes some RSA-certified staff, house glassware and a choice of service styles, from per-head packages to bar tabs or guest-pays options. Couples can enjoy customised cocktails and tailored bar packages designed to suit their budget, preferences and wedding style. Smooth, seamless service is provided throughout the celebration, ensuring guests are well looked after.

To make planning effortless, every booking includes the support of Willow & Stone’s in-house Event Coordinator, Laura. With unlimited email and phone communication, up to five hours of on-site meetings, timeline and vendor coordination, and ten to twelve hours of dedicated on-the-day management, Laura ensures every detail runs exactly as you envisioned. Couples are also given access to the Aisle Planner online system, an intuitive planning tool that helps manage guest lists, budgets, timelines, suppliers and more.

Additional inclusions such as two white pop-up marquees, dedicated restroom facilities, waste management, security, ushers, directional signage and discreet power and water access throughout the grounds ensure a seamless, well-supported event from start to finish, without the need for generators or external infrastructure.

Our venue really needs to be seen to truly experience everything we have to offer which is difficult to capture in just one document. We strongly recommend you view our property to see for yourself exactly how special and unique it is. The attached document outlines our inclusions, exclusions, costs & curfews and much more, relevant to our venue hire. Creating your day to meet your budget and dreams can be fully organised by yourself or utilise our team to assist you. You have the flexibility at our venue to have YOUR wedding/event YOUR way. However you chose to have your event we are more than happy to provide our recommended and preferred suppliers and vendors who will never let you down and we promise to guide and support you through your wedding planning journey. We do now offer 60 ceremony chairs as well as all cocktail hour furniture as of 2025. Also included in our venue hire is our brilliant event coordinator and additional set up/pack down staff, so you can rest assured that all things will run smoothly on your day without having to involve your guests for assistance or either of you checking what the time is. How soon before my desired date should I book?

We recommend booking 18 months to 2 years in advance for the best choice of dates. We don’t take deposits more than 2 years out but can pencil in dates for you and send you updated inclusions and pricing once its 2 years away. 

Do we have to book the whole weekend?

Yes — venue hire is for 3 days and 3 nights. This gives you time to settle in, prepare, and celebrate without any rush. We only host one event per weekend, so whether you stay one night or all three, the hire price remains the same.

What are your accommodation options?

You’ll enjoy exclusive use of our luxury suite for the weekend, including an expansive dressing room and space for up to five to sleep over should you choose the night prior.

After the celebrations, return to your beautifully refreshed suite. We wont disturb you until your late check out around lunchtime on the Monday.

Ballarat offers a wide range of nearby accommodation, from boutique hotels and Airbnbs to larger hotels. The Mercure, a major hotel, is only steps away through our private back gate, with cafés, bars, and local attractions just minutes from the venue.

What happens if it rains?

We always have a wet-weather plan tailored to your guest numbers, with covered ceremony options and umbrellas on hand. Our venue and event managers ensure everything runs smoothly, rain or shine, so you won’t have to worry about a thing.

Is a marquee included?

Yes. Your hire includes a pristine clear 20m x 10m marquee with an automated awning system to protect florals from the heat or provide shade for your guests. Over 300 metres of dimmable festoon lighting, an expansive outdoor deck for a starlit dance floor, or a hardwood indoor dance floor, plus much more, are all included within the reception arena.

What is excluded from venue hire?

Catering, reception furniture, styling, and entertainment are not included. However, our wedding planning team — included in your hire — can help you bring everything together seamlessly and within budget.

Do you supply furniture?

From late 2025, venue hire includes 60 ceremony chairs and all cocktail hour furniture for the main lawns. Reception/marquee furniture is excluded, as requirements vary widely. We can provide cost estimates based on your needs and also offer:

  • Complimentary items (e.g., wine barrel or cake display table, trestle for gift table).
  • 15% off with our preferred local hire partner for standard tables and chairs.
  • Recommendations for hire companies to suit your style and budget.

Do you allow a recovery day?

We no longer host recovery days on-site, but we’re happy to recommend nearby venues where you can continue the celebrations stress-free.

Do you cater for micro weddings?

Yes. We host micro weddings of up to 45 guests, available only in our off-peak season (May to September), or within six months of your enquiry if a date is free. Packages are available for elopements, seated, or cocktail-style celebrations.
